Archiving Past Events & Organizing Internal Documents
Problem
BAEMP did not have an archive of events over its first two years, nor any central place to document its own activities.
In trying to learn about what the group had done, as well as what the average event attendance rate is, I found that we did not have any data archived.
The Google Drive and email was increasingly disorganized as the organization had grown.
Approach
I proposed that we start archiving our activities and volunteered myself to organize our Google Drive account.
I found old information for events in various emails and documents. I also assessed what we would need to properly record each event, and how to best do that.
I also created labels and folders to organize all incoming emails.
Solution
I created a new system for events to be easily archived and referenced.
I organized the group's Google Drive to match our own committee structure.
I created an excel spreadsheet to archive all past and present events, which is still used today.
This system is still used for the internal organization. It has also facilitated an easier orientation for new board members.
I have had the pleasure of working with Katherine as a fellow Board Member of the Bay Area Emerging Museum Professionals. During our time together, I watched her coordinate monthly programming and organize the operations side of the organization. In addition, Katherine spearheaded a regional conference session tailored to EMP audiences. She is always thoughtful and calculated in her approach, which ensures that every effort provides the greatest impact. Although we are now in different states and time zones, Katherine continues to inspire me with her drive, standards of excellence, and insatiable curiosity--qualities that push organizations as well those around her.
